I. JOB OVERVIEW
Job Description Summary
Greets visitors and answers/disseminates phone calls in a timely, efficient, and professional manner.
Manages the reception area to ensure effective telephone and written communication, both internally and externally.
Monitors and orders office supplies.
Coordinates maintenance of office equipment, including copiers, fax machine, phones.
Opens and distributes mail.
Manages conference room scheduling; sets up and breaks down/cleans up conference rooms. Assists in setting up for/breaking down after programming or events at the law school.
Performs a variety of routine clerical tasks such as assembling materials, preparing documents for mail or courier delivery, updating spreadsheets, photocopying, typing, filing and preparing documents for archives.
Assists office with minor IT troubleshooting.
Drafts correspondence, reports, tables, forms and other necessary documents.
Performs other work related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Qualified candidates will hold a high school diploma/GED, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
Bachelor’s degree desired.
Legal and/or administrative support experience preferred.
Team player who is proactive, organized, and detail oriented.
Professional demeanor with a positive disposition and problem solving capabilities. Able to work independently and multi-task.
Proficient in G Suite (GMail, Drive, Docs), Microsoft Office Suite (Word, Excel, and PowerPoint), and Adobe Creative Suite (Photoshop, Illustrator, Dreamweaver).
Excellent administrative support experience with strong client service acumen, and ability to exercise appropriate judgment and escalation in a variety of circumstances.
Ability to work in a fast-paced and multicultural environment.
Sensitivity to the needs of the university and law school community, including the ability to maintain strict confidentiality.
